Vault allows flexibility when granting access, or permission, to various members and contacts within your organization. As such, Vault administrators select permission levels to each section of Vault when managing this aspect of the application.
PERMISSION LEVELS
Vault access, or permission, levels are described below.
Manage Permissions
Users with a permission level of 'Manage' can add, edit and delete data within the applicable section of Vault.
- Note: Users with 'Manage' Administration may have 'No Access' or 'View' to any other menu item, but the 'Manage' Administration user can edit their settings at any time.
View Permissions
Users with a permission level of 'View' can view the applicable section of Vault. However, menu items strictly for entering updates are disabled. The 'View' user can open informational pages, but they will not have the ability to enter or edit data. Add, edit and delete buttons are not present for users with 'View' permissions.
No Access Permissions
Users with a permission level of 'No Access' can see the menus; however, menu items are disabled and display general pages about OmegaFi's services.
PERMISSION SECTIONS
The above permission levels are applicable to each section of Vault. For purposes of user access, the sections of Vault are described below.
Accounting
The Accounting section of Vault permissions is most features under the Accounting tab in Vault except those that provide visibility of expense transactions manually entered or imported into an account register from a third-party bank account via Plaid. Details are below.
- Accounting → Registers: Users with Manage or View access level to the Accounting section can see a rollup summary of the Current Balance, Pending Deposits, Pending Payments, Pending Transfers and Available Balance.
- Accounting → Disbursement Summary: Users with Manage or View access level to the Accounting section can see a rollup summary of disbursements by Expense Account and Expense Account Group. This also includes Budget Amount, Amount Over Budget and % of Budget.

Accounting → Income Statement: Users with Manage or View access level to the Accounting section can see the following rollup summary reports:
- Budget vs. Actual
- Budget vs. Actual by Month
- Budget Performance
- Year-To-Date Comparison
- Previous Year Comparison
- Income Statement Detail
- Budget Groups vs. Actual
- Accounting → Income Statement Detail: This report is restricted to users who do not have 'Manage' or 'View' access level to the Accounting Transaction Details section of Vault permissions (see next item below for more information).
- Accounting → Budget Detail: This report is restricted to users who do not have 'Manage' or 'View' access level to the Accounting Transaction Details section of Vault permissions (see next item below for more information).
Accounting Transaction Details
Users with 'Manage' access level to the Accounting Transaction Details section of Vault permissions can manually enter or import transactions into an account register under the Accounting tab. Users with 'Manage' or 'View' access level to the Accounting Transaction Details section of Vault permissions can view the Income Statement Detail and Budget Detail reports under the Accounting tab.
- Note: A Vault user must also have 'Manage' or 'View' access to the Accounting section of Vault permissions in order to utilize the Accounting Transaction Details permissions described above.
Administration
The Administration section of Vault permissions is all features under the Gear Icon at the top right of Vault, which includes Vault Users, Custom Member Fields and Contract Management.
Bill Pay
The Bill Pay section of Vault permissions is most features under the Bill Pay tab in Vault except those applicable to Officer Purchasing Cards. Details are below.
- Bill Pay → Registers: Users with Manage or View access level to the Bill Pay section can see a rollup summary of the Current Balance, Pending Deposits, Pending Payments, Pending Transfers and Available Balance.
- Bill Pay → Expenditures: Users with Manage or View access level to the Bill Pay section can see a rollup summary of expenditures by Expense Account and Expense Account Group. This also includes spending graphs by Vendor, Fund and Expense Account.
- Bill Pay → Review Card Transactions: This page is restricted to users who do not have 'Manage' or 'View' access level to the Bill Pay Transaction Details section of Vault permissions (see next item below for more information).

Bill Pay → Register Search: Officer Purchasing Card fund registers will be excluded in the ‘Register’
picklist for search for users who do not have 'Manage' or 'View' access level to the Bill Pay Transaction Details section of Vault permissions (see next item below for more information).
Bill Pay Transaction Details
The Bill Pay Transaction Details section of Vault permissions includes only the Officer Purchasing Cards feature under the Bill Pay tab in Vault. Users with 'Manage' or 'View' access level to the Bill Pay Transaction Details section of Vault permissions can also see card transactions and include them in register searches.
Billing
The Billing section of Vault permissions is all features under the Billing tab in Vault, which includes Billing Groups, Member Payments, Delinquent Accounts, Administrative Tools, Statement Details, Transactions and Billing Reports.
Chapter
The Chapter section of Vault permissions is all features under the Chapter tab in Vault, which includes Membership, Update Member Information, Chapter Reports and Chapter Information.
Communications
The Communications section of Vault permissions is all features under the Communications tab in Vault, which includes Communication Tools, Member Contact Information and Reports.
House
The House section of Vault permissions is all features under the House tab in Vault, which includes House Detail and Contract Management.
National
The National section of Vault permissions is applicable to chapters whose national organization has a national partnership with OmegaFi. This section of Vault permissions is all features under the National tab (and will display the applicable organization's Greek letters) in Vault, which includes Inter/national Alerts, National Dues/Fees billing information, Calendar and Inter/national Reports.
